Marketing Coordinator

Job Title: Marketing Coordinator

This marketing coordinator position is primarily responsible for the marketing administrative needs for the SVP of Marketing/Business Strategy and the operational support functions for the Marketing/Business Strategy/Community Engagement department. This position is critical for the upkeep, planning and coordination of the SVP’s calendar and scheduling. This position is also critical for executing the marketing tactics for branding initiatives, podcasts, radio, TV and digital programming priorities (brand or program specific).  


50% Marketing Execution

  • Manages the creative execution process for WABE’s off-channel media plan. Responsibilities would include managing the timeline, the creative execution process (copy and creative look/feel), the deadlines and approvals for all off-channel advertising
  • Manages the marketing request form and creative materials process for internal marketing needs which would include logos and ads for trade related creative
  • Create meeting communication for any meetings the team has – agenda setting, recaps, follow up
  • Manage the marketing and event execution of any Community Engagement initiatives
  • Help support the development and marketing execution of podcasts
  • Create and manage an project calendars and timelines of key events
  • Help manage the promotion planning and messaging process for promotional priorities within organizational assets
  • Help coordinate and develop the Annual Report development in conjunction with Community Engagement manager
  • Help write any press releases or internal communication needs

40% Administrative Support

  • Scheduling meetings, planning and organizing calendar for the SVP
  • Supporting the SVP in any admin/project management needs
  • Perform various administrative functions of a routine nature (filing, photocopying, scanning, preparing expense reports etc.)
  • Supporting department office needs like ordering office supplies and organizing, tracking and distributing premiums
  • Supporting the scheduling and preparation for department meetings – calendar invites, conference room reservations and conference room preparation
  • Setting up and preparing conference room(s) for meetings

10% Internal Organization Support

  • Assist in helping prep for organization functions such as birthday celebrations, town halls, holiday celebrations, committee meetings
  • Assist in other departmental needs such as UW events or Individual Giving events (where needed)
  • Other duties as assigned

Knowledge, Skills and Abilities:

  • 2-3 years working experience preferably in a marketing or media company or an advertising/media agency
  • Passion for marketing and media
  • Strong written and verbal communication, organizational and project management skills
  • Strong analytical/strategic thinking skills
  • Must have initiative and be a self-starter
  • Proficient in Microsoft Word, Excel, PowerPoint
